In a world where digitalization is increasingly calling, companies are looking to integrate into the tech landscape by incorporating more and better technology. What they often don’t realize is that beyond the tech itself, there’s knowledge, processes, and above all, people supporting it.

All of this is encompassed in the word ‘adoption’—a concept that cannot be overlooked in the world of workplace devices and technology. Without adoption, there can be no harmony between companies, processes, and the new innovations knocking at their doors. There is no transformation without holistic adoption.

So, what does this mean? It refers to the process of introducing, contextualizing, preparing, and most importantly, training people within companies on the technologies (because without knowledge, there is no functionality) so they can adapt effectively in hybrid workspaces.

To make this possible, two essential pillars are required: the integrator and an adoption process. Without both, proper technology implementation will never be fully realized. Technology integrators play a crucial role in providing the expert guidance and support needed throughout the journey.

To support this implementation, it's also essential to adapt the physical environment. Modern collaboration spaces play a critical role in enabling flexibility, creativity, and real-time interaction—whether onsite or remote. When designed properly, they help bridge the gap between people and technology.

The second pillar—the process—is a framework and methodology designed to build trust among those adapting to new technologies, and to guide the journey through awareness, preparation, user experience, scenarios, training, and continuous learning.

The Method

Newtech has developed its own method based on experience, which has helped many companies successfully incorporate technology into their environments.

It all begins with an adoption framework that includes three key stages: vision, onboarding, and value. Each stage—distinct yet integrated—has a key mission to guide and enable the holistic adoption everyone involved is striving for.

Our adoption framework guides organizations through the process and helps optimize results. Each phase is divided into simple steps leading to best practices, resources, and tools needed to build and implement a tailored adoption strategy:

VISION: In this stage, scenarios are identified and prioritized while understanding the available resources as deployment is planned. It includes activities such as team meetings, strategy definition, and readiness assessments.

ONBOARDING: This involves working with key stakeholders to create and launch an adoption plan. It also includes preparing the environment and piloting the adoption strategy with early users. Their feedback allows for adjustments before scaling deployment across the organization.

VALUE: Large-scale implementation and organizational success depend on usage and satisfaction. This requires planning from the vision and onboarding phases and ongoing operational excellence. At this level, focus is placed on monitoring and finalizing user adoption, measuring and reporting usage, and encouraging continued engagement.

The path is not linear. Along the way, various scenarios, beliefs, or obstacles may arise and slow the process. That’s why it’s critical to understand, for example, that launching new technology is more than just a technical migration and that resistance to change is a normal human behavior that must be addressed.

Putting It Into Action

This is how the engine gets started—and at Newtech, we provide all the tools and knowledge needed to support, advise, and train companies choosing to adopt new technologies.

The adoption process includes 5 key activities for a successful plan:

  1. Vision alignment and stakeholder meetings: This involves identifying sponsors—those who act as liaisons between the company adopting the technology and the implementing partner, like Newtech. The goal is to ensure fluid communication, define a clear vision and strategy, and leverage power users and champions to influence others.
  2. Identifying use-case scenarios: The goals here include defining user efficiency and effectiveness, gaining managerial buy-in to align vision with daily activities, and understanding how end users want to work to meet their expectations.
  3. Creating the awareness and communications plan: This ensures a wider audience is aware of the upcoming changes, communicates them effectively, and includes measurements and incentives. This is typically done through a sustained plan and reinforcement messaging.
  4. Developing the training plan: This step involves crafting the right training strategy for end users so they gain the fundamental knowledge needed to use each device properly—including tools like video conferencing equipment, smart displays, and communication platforms.
  5. Management and monitoring plan: The final step involves creating a clear management and support model to ensure strategic follow-up, communicate changes, and develop a process for gathering user feedback.

With a solid initial assessment, this ensures the identification of users and their needs, the availability or implementation of infrastructure, and most importantly, the adoption of technology and new habits—supported by change management for people.

At Newtech Group, we have the experience and trained staff to deliver these services and help your organization achieve a strong return on investment.
